Terms of service

These terms apply when a practice — a clinic, hospital, laboratory, dental lab, care service or veterinary practice — opens an OPALEVI account and when its staff use it. By opening the account, the person who registers accepts them on behalf of the practice.

The service

OPALEVI is web software for running a healthcare or veterinary practice: appointments, patient records, visits, the cash box, invoices, stock and reports. It works in the browser, on a computer or a phone; there is nothing to install.

OPALEVI is a record-keeping tool. It does not give medical advice or make clinical decisions; those remain the responsibility of the practice and its professionals.

Accounts and users

The person who registers becomes the owner of the practice's account. The owner decides who else gets a user account and which role each one has, and is responsible for removing access for people who leave. Each user keeps their own password private and tells us at once if they think someone else has used their account.

Trial and subscription

A new account starts with a free trial of 15 days. To keep using OPALEVI after the trial, the owner buys a subscription for staff seats, starting from 3; every person who works in the practice, the owner included, takes one seat. The subscription is paid in advance, monthly or yearly, at the prices shown on the pricing page at the time of purchase.

Card payments are handled by Paddle.com, which acts as the merchant of record: Paddle sells you the subscription, charges your card, issues the invoice and handles sales tax. Paddle's own buyer terms also apply to those payments. The subscription can instead be paid in EURC or USDC from the practice's own wallet; a period paid that way is paid in advance and does not renew by itself. A practice uses one payment method at a time.

Cancellation and refunds

The owner can cancel the subscription at any time in Settings → Subscription, or through Paddle's buyer portal, linked in the payment confirmation e-mail. The cancellation takes effect at the end of the billing period already paid for; until then the account keeps working as before, and no further payment is taken.

Card payments are sold and refunded by Paddle, our merchant of record, under Paddle's Buyer Terms and Refund Policy (paddle.com/legal/refund-policy). To ask for a refund, use paddle.net or write to our support. Outside the statutory rights below, a paid period is not refunded in part when you cancel, though Paddle may refund at its discretion — for example a payment taken by mistake. Where a refund is given, access for the refunded period ends. Payments in EURC or USDC, which Paddle does not handle, follow the same rules and are refunded to the wallet that paid.

If you are a consumer in the EU, the EEA, Switzerland or the United Kingdom, you have a 14-day right to withdraw and receive a full refund, as Paddle's Refund Policy sets out — counted from your first payment, or from the end of a free trial — and consumers elsewhere have the withdrawal or cancellation periods their own law gives them. Nothing in these terms limits your mandatory consumer rights; where they give you more, they apply.

Your data

The records a practice keeps in OPALEVI, including its patients' records, belong to the practice. The practice decides what is recorded and is responsible for having a lawful basis to record it; OPALEVI processes those records only to provide the service, on the practice's behalf, as described in the privacy policy.

The owner can ask support at any time for a copy of the practice's data, or for its deletion. We deliver the copy or complete the deletion within 30 days of the request. Before asking for deletion, keep any records the law requires the practice to hold for longer.

Where the law requires a written data processing agreement between the practice and OPALEVI, write to support and we will provide one.

Acceptable use

Use OPALEVI only for the lawful running of your practice. Do not try to reach another practice's data, test the service's security without our written permission, overload it on purpose, or resell access to it.

Availability and changes

We work to keep OPALEVI available at all times, but we do not promise uninterrupted service. Planned maintenance is announced beforehand on the site and in the application where possible. We may improve or change features, but we will not remove a core part of the service you pay for without telling you in advance.

Ending the account

A practice may stop using OPALEVI at any time. We may suspend or close an account that is not paid for after the trial, or that breaks these terms, after telling the owner and giving reasonable time to put it right, unless the breach is serious. Cancelling does not delete the data by itself; deletion is on request, as described above.

Liability

We provide OPALEVI with reasonable care. To the extent the law allows, we are not liable for indirect losses, such as lost profit, and our total liability for a claim is limited to what the practice paid for the service in the twelve months before it. Nothing in these terms limits liability that the law does not allow to be limited.

Changes to these terms

When these terms change, we update the date at the top of this page and, for a change that affects how you use or pay for OPALEVI, tell account owners by email or in the application before it takes effect.
